Trackodo Privacy Policy

This Privacy Policy explains how Trackodo ("Company," "we," "us," or "our") collects, uses, protects, and discloses information that arises from your use of the Trackodo mobile application, the TrackOdo website, and related services (collectively, the "Service").
By using the Service, you agree to the collection and use of information in accordance with this policy.
1. The Information We Collect
We collect information that falls into the following categories. This data is collected primarily because Trackodo is a paid service focused on vehicle record-keeping and is not available without it.
A. Information You Directly Provide (Required for Service)
This is data you manually input to use the core functionality of Trackodo:
Account and Contact Data: Name, email address, password (encrypted), and billing information (handled by our third-party payment processor).
Vehicle Data: Vehicle Identification Number (VIN), vehicle make, model, year, and license plate number.
Mileage and Lease Data: Odometer readings (manual inputs), uploaded odometer photographs, initial mileage, lease start/end dates, total contracted mileage, and calculated mileage usage/remaining allowances.
Customer Support Data: Information you provide when contacting our support team (e.g., questions, feedback, bug reports).
B. Usage and Technical Data
When you access the Service, we automatically collect data about your use of the platform:
Usage Logs: Activity within the app (e.g., timestamps of mileage updates, features accessed, calculation triggers).
Device Information: Device type, operating system version, browser type, IP address, and unique device identifiers.
Location Data (if applicable): We do not actively track your GPS location unless a future feature (not currently planned) requires it, and then only with your explicit, opt-in consent. We only collect the location metadata that is inherent in the odometer photos you upload (e.g., GPS coordinates embedded by your phone's camera).
2. How We Use Your Information
We use the data we collect solely for the purpose of operating, maintaining, and improving the Service for you:
To Provide the Service: To manage your account, store your vehicle and mileage logs, calculate your remaining lease allowance, and generate the reports you request.
For Internal Analytics and Improvement (De-identified Data): We use aggregated, de-identified data (data that cannot be traced back to you) for business purposes, such as understanding usage trends, identifying popular features, and improving our algorithms and Service performance.
For Communication: To send you service announcements, security alerts, and administrative messages related to your account or subscription.
For Security and Fraud Prevention: To protect Trackodo, our systems, and our users by detecting and preventing fraud, unauthorized activity, and technical issues.
For Billing: To process your subscription payments via third-party payment processors.
3. How We Share Your Information
We do not sell your Personal Information for any reason. We share your data only in the following limited circumstances:
With Third-Party Service Providers: We share necessary data with third-party vendors who perform services on our behalf, such as:
Payment Processors: To handle subscription billing (e.g., Stripe, PayPal). We do not store your full payment card details.
Hosting Providers: To securely store all application data (e.g., AWS, Google Cloud).
Analytics Providers: To help us understand user behavior and application performance (using only de-identified or aggregated data).
For Legal Reasons: We may disclose your information if required to do so by law, court order, or governmental regulation, or if we believe in good faith that such action is necessary to comply with a legal obligation, protect our rights or property, or ensure the safety of our users.
In the Event of a Business Transfer: If we are involved in a merger, acquisition, sale of assets, or bankruptcy, your information may be transferred as part of that transaction, provided that the recipient agrees to honor this Privacy Policy.
4. Your Rights and Data Management
You have complete control over your data within the Trackodo platform:
Right to Access and Correction: You can access, review, and change all your personal data and vehicle records (including odometer readings, VINs, and lease terms) directly within your account settings at any time.
Right to Deletion and Reset: You can delete or reset all your data at any time. Upon your request, we will remove your associated Personally Identifiable Information (PII) from our active systems.
Data Retention: We retain your PII only as long as you have an active account or as needed to provide the Service to you. If you delete your account, we will proceed with the deletion of your PII, subject to the limited exceptions noted in the ToS and Section 3 of this policy (e.g., legal compliance, use of de-identified data).
5. Data Security
We implement security measures designed to protect your information from unauthorized access, loss, misuse, or alteration. These measures include:
Using SSL/TLS encryption for data transmission.
Encrypting user passwords and storing them securely.
Employing access controls on our systems to restrict data access to only necessary personnel.
However, no method of transmission over the internet or method of electronic storage is 100% secure. Therefore, we cannot guarantee the absolute security of your information.
6. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by revising the "Effective Date" at the top of this policy and by sending you an email notification or placing a prominent notice within the Service prior to the change becoming effective.
